Sponsors, prizes and support
Keep new requests pending while you review them. Once you approve a request, it moves into the promised totals with its payment deadline. Mark it received only when the money or donated item has actually arrived.
Baker’s 4WD always remains the event host. If no level is selected for a sponsor, the dashboard assigns one from the promised value: $2,000 Presenting, $1,000 Trailblazer, $300 Overland, $200 Community, or $100 Event Supporter. Once Public recognition is approved, a promised sponsorship appears automatically on the event webpage. Unpaid commitments are clearly marked until payment is received.
Presenting and Trailblazer: March 20, 2027, approximately two and a half months before the event, to help cover early venue and event expenses.
All other sponsorships: May 5, 2027. A promise should not be counted as collected money until payment is actually received.
Cash or checks should be payable to Baker’s 4WD, LLC. Checks may be mailed or dropped off at the shop. For security, cash should be dropped off in person and should not be mailed.
Baker’s 4WD, LLCGive every confirmed show vehicle one unique display number and assign it to the class that best represents how it is built and used. The number must match the placard displayed on the vehicle and the number shown on the public ballot.
Planned classes: Best Overland Build, Best Off-Road Build, and Best Daily Driver. Each winner receives a prize package worth at least $500.
Separate public-vote award worth at least $100. Visitors vote once using the Duck Parade number; results remain private here until voting closes.
Changing a show or camping entry to “Approved — payment due” prepares the payment email. When payment arrives, check Paid. The participant is confirmed, the correct fee is added to Money Collected, and a show vehicle automatically receives the next available show number.
The Duck Parade is free, so its separate parade number is assigned automatically when “Parade approved” is checked. Staff may correct either number when necessary.

Event-day help
Review each person’s age, availability and preferred jobs, then approve the people you would like to contact.
Copy everyone at once or choose only the group that needs the message. Anyone signed up for more than one activity appears in each matching list. When emailing a group, paste the list into the BCC line so addresses remain private.
Volunteer addresses are kept in the BCC-ready list above so you can contact everyone without sharing their email addresses.
Requests stay here for staff review; they do not overwrite a registration automatically.
